Welcome to VOCtool ("Company," "we," "our," "us"). We respect your privacy and are committed to protecting it through our compliance with this privacy policy. This policy describes the types of information we may collect from you or that you may provide when you visit the VOCtool website and use our Voice of Customer software platform (our "Service"), and our practices for collecting, using, maintaining, protecting, and disclosing that information.

2. Information We Collect

We collect several types of information from and about users of our Service, including:

  • Personal Data: Information by which you may be personally identified, such as name, postal address, e-mail address, telephone number, and payment information.
  • Business Data: Data related to your business operations, locations, and branding assets you upload to the Service.
  • End-User Data: Feedback, survey responses, IP addresses, and contact information submitted by your customers through our routing gateways and survey forms. You are the Data Controller of this information, and we act as a Data Processor on your behalf.
  • Usage Details: Information about your internet connection, the equipment you use to access our Service, and usage details collected automatically through cookies and tracking technologies.

3. Third-Party Integrations & API Usage

Our Service allows you to integrate with third-party platforms such as Google Business Profile, Yelp, Facebook, TripAdvisor, and others to facilitate the routing of customer reviews.

Google API Services Compliance: VOCtool's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google Workspace APIs to develop, improve, or train generalized AI and/or ML models.

When you authorize VOCtool to connect to these third-party platforms, we may access, collect, and store information necessary to perform the requested actions (such as fetching your location ID to generate review links). We will only use this data to provide the Service to you and will not sell, rent, or lease this data to third parties.

4. How We Use Your Information

  • To present our Service and its contents to you.
  • To provide you with information, products, or services that you request from us.
  • To fulfill any other purpose for which you provide it (such as routing feedback to your dashboard).
  • To carry out our obligations and enforce our rights arising from any contracts entered into between you and us, including for billing and collection.
  • To notify you about changes to our Service.
  • To improve our platform, diagnose technical problems, and ensure security.

5. Cookies and Tracking Technologies

We use cookies, web beacons, and other tracking technologies to collect information about your activities on our Service. Specifically, we utilize Firebase Authentication which relies on session cookies to keep you logged in securely. You can control the use of cookies at the individual browser level, but if you choose to disable cookies, it may limit your use of certain features or functions on our Service.

6. Data Retention and Deletion

We retain personal data only for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

Your Right to Deletion: You may request the complete deletion of your account and all associated data at any time. Furthermore, if you delete a campaign within the VOCtool dashboard, all end-user feedback and statistics associated with that campaign are instantly and permanently purged from our database. To request account deletion, please email support@voctool.com or utilize the deletion tools provided in your account settings.

7. Your Privacy Rights (GDPR & CCPA)

Depending on your location, you may have the following rights regarding your personal data:

  • The right to access: You have the right to request copies of your personal data.
  • The right to rectification: You have the right to request that we correct any information you believe is inaccurate.
  • The right to erasure: You have the right to request that we erase your personal data, under certain conditions.
  • The right to restrict processing: You have the right to request that we restrict the processing of your personal data.
  • The right to data portability: You have the right to request that we transfer the data that we have collected to another organization, or directly to you.

8. Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on our secure servers behind firewalls. Any payment transactions and API tokens are encrypted using SSL technology.

The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Service, you are responsible for keeping this password confidential.

9. Changes to Our Privacy Policy

It is our policy to post any changes we make to our privacy policy on this page. If we make material changes to how we treat our users' personal information, we will notify you by email to the primary email address specified in your account or through a notice on the Service home page.
